Privacy Policy

This Privacy Policy describes how the Proctor – MyExamBrowser application ("App", "we", or "us") collects, uses, and safeguards information entered by educators, teachers, and exam administrators ("Proctors") while using the application.

Information Stored on Your Device

The Proctor App does not collect or transmit your data to any external server. To enable exam management features, the following information is entered by you and stored only on your local device:

• Proctor Profile: Your name, institutional affiliation (school/organization name), and your Google Account email address. This information is embedded into each encrypted exam QR code to allow students to verify the proctor's identity before starting an exam.
• Exam Session Configurations: Exam title, subject, room, URL of the exam platform, start time, end time, exit PIN, and recovery PIN. All data is stored locally and encrypted within the generated QR code payload.
• Custom Settings: User-defined subject chips, exam type labels, and default room name — stored locally as app preferences.

How We Use This Information

• To generate encrypted exam QR codes (AES-256 GCM) that students scan using the MyExamBrowser student app.
• To display a proctor identity summary on the student's device upon QR scan, ensuring transparency and authenticity of the exam session.
• To maintain an exam session history and Trash Bin locally for reference, restore, or review by the proctor.

Device Permissions

Permission	Purpose	Data Stored?
Camera	Scan exam URL QR codes from printed materials or external screens to auto-fill the exam link in the session creation form.	No — camera frames are processed in real-time on-device. No images or video are saved or transmitted.
Internet Access	(1) Open and validate exam URLs in the system browser via the "Check Link" feature. (2) Google Play in-app billing for subscription or license verification.	Only for in-app purchase verification via Google Play. Exam data is never sent to our servers.
GET_ACCOUNTS / Google Sign-In	Allow the proctor to select a verified Google Account email associated with their device's Google Play account for identity attestation in the proctor profile.	The selected email is stored locally on-device only. We do not receive or store it on any external server.

Google Account and Identity

The Proctor App requires that the proctor's profile email must be a valid Google/Gmail account registered on the device. This requirement exists to:

• Ensure only legitimate, verifiable educator identities are embedded in exam QR codes distributed to students.
• Prevent the use of anonymous or untraceable proctor identities.

We do not access, read, or transmit the contents of your Google Account (emails, calendar, Drive files, etc.) without your explicit action.

In-App Purchases and Billing

The Proctor App offers optional subscription tiers (Free, Plus, Pro). All purchases and subscription management are processed securely through Google Play Billing. We do not store your payment or card information. Refer to Google's Privacy Policy for details on billing data handling.

Third-Party Services

• Google ML Kit (On-Device): Used locally on-device for QR code scanning. No scanning data is transmitted to external services.
• Google Play Billing: Used for in-app subscription and license verification.

Data Retention and Deletion

• All exam session data and proctor profile information is stored locally on your device.
• Deleted sessions are moved to a Trash Bin and automatically purged after 7 days.
• Uninstalling the application permanently removes all app data (session history, profile, preferences) from your device.
• QR Code images saved to your Gallery (Pictures/MyExamBrowser) are stored in your device's public photo storage and are not automatically deleted when the app is uninstalled. You may delete them manually from your Gallery at any time.
• We do not retain copies of your data on any external server.

Data Security

All exam QR code payloads are encrypted using AES-256 GCM encryption, preventing unauthorized reading or tampering of exam configuration data. PINs and sensitive session tokens are never stored or transmitted in plain text.

Children's Privacy

The Proctor App is intended for use by adult educators and academic institution staff. It is not directed at children under the age of 13. We do not knowingly collect personal information from children through this application.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected on this page with a revised "Last Updated" date. Continued use of the application after changes constitutes your acceptance of the updated policy.
